Visit Guangzhou National Archives for Exchanges to Enhance File Management at Times Property

Guan Jianhui, vice president of the Times Property Group Information and Administrative Services Center; Chief Administrative Officer Li Juan and personnel in charge of file management from the Administration Department paid a visit to the Guangzhou National Archives for exchanges on October 14, in order to enhance the Group’s file-management procedures and enhance the Group’s file management with reference to the methods for managing professional archives. Jiang Nianping, deputy director of the Guangzhou National Archives; Chen Xiaofan, director of the Yuexiu District Archives Bureau; Fan Yikun, deputy director of the Yuexiu District Archives Bureau; and staff from the Supervising and Guiding Office also attended the exchange. Guided by Deputy Director Jiang, the participants visited the file room of the new archives and a digital exhibition hall displaying a hundred-meter scroll "Hello, New Guangzhou." Additionally, they saw technologies for file simulation and copying, and repair by pasting, and exchanged ideas on file collection, storage, file-room management and other aspects.

The new Guangzhou National Archives Phase I is situated west of the central Guangzhou Higher Education Mega Center, which is regarded as the largest national archive in China. According to Deputy Director Jiang, the file room was constructed with a hexahedral building envelope, and all structures were equipped with insulation materials. Thermostatic/humidistatic air conditioners were installed to ensure constant temperature and humidity in the file room, and, in terms of intelligence, environmentally friendly high-pressure water-mist fire systems were applied. The cabinets and boxes for file storage were all custom-produced, and the materials used were insect-proof and moisture-proof, thereby ensuring the safety of the files. These design concepts and technologies can be used as a useful reference in the construction and renovation of the Group’s archives.

A major highlight of the new Guangzhou National Archives is its exhibition hall providing a large-scale exhibition platform. The exchange group visited the digital exhibition hall displaying a hundred-meter scroll "Hello, New Guangzhou," which is most representative of the Lingnan culture and Guangzhou characteristics. The exhibition hall uses advanced digital display technologies and is equipped with interactive areas. Guan Jianhui, vice president of Times Property Group, personally experienced the interactive virtual tour of Chen’s Lineage Hall and greenway bike-riding, whereupon he praised the Archives’ advanced technologies and concepts.

Subsequently, leaders from Times Property Group and those of the Guangzhou National Archives discussed the problems concerning corporate archive management. Deputy Director Jiang stressed that files were records of the development and history of an enterprise, so they should attach great importance to file management. Additionally, he offered professional advice on file-management system building, file-management personnel arrangement and other aspects.

The Group started to enhance file management in an all-round manner in 2012. Gradually it has optimized the range of file management and management models of various types of files and by launching business-cycle file management this year. After having invited a professional assessment team from Yuexiu District Archives Bureau to assess the Group’s file management, this visit to and exchange with the Guangzhou National Archives is another significant measure taken to advance the Group’s professional, standardized file management. In the days to come, the Group’s Administration Department will continue to communicate with and learn from external parties and draw on the experience of benchmark enterprises in the industry, thus setting a solid foundation for the Group’s formulation of follow-up strategies and file-management plans.
